Custom builds for sports clubs · DFW

Club software that finally fits your club.

I’m Tom Hall — a senior engineer in Burleson who has spent ten years shipping software for an airline, a telehealth platform, and my own SaaS (acquired in 2021). I build the tools your registrar and DOC wish existed: dashboards, portals, and the glue between GotSport, QuickBooks, and the spreadsheets holding your club together. The club owns everything I build.

// sound familiar?

Registration closed. The chaos didn’t.

  • Registration lives in one platform, payments in QuickBooks, rosters in spreadsheets, and communication in group texts — and none of them agree.
  • Your registrar is a volunteer doing hours of exports and copy-paste every week, and everything stops when they’re unavailable.
  • Chasing dues means pulling a report, cross-checking a spreadsheet, and texting families one at a time.
  • Tryouts, team formation, and field schedules get rebuilt from scratch every season — in whichever spreadsheet survived from last year.
  • The platform the club pays for does 70% of what you need, and the last 30% is invisible volunteer labor.

// what I build

Custom apps and integrations, built like a product team would.

Built around how your business actually works — not bent to fit generic software. I scope, design, build, and hand off myself: senior-level work without the agency layer, here in DFW.

One dashboard for the whole club

Club ops dashboards & registrar tools

Who’s registered, who’s paid, who’s missing a birth certificate or medical release — one screen the front office trusts, instead of five exports someone reconciles by hand.

↳ Shipped Breeze Airways’ ops board and airport kiosks; Refill’s platform serves 200+ practices.

Your platforms, finally talking

Integrations & glue code

The custom layer that connects your registration platform, QuickBooks, email and text tools, and spreadsheets — so data stops getting re-typed and reports stop disagreeing.

↳ Built service integrations across airline ops systems at Breeze Airways.

Portals parents actually use

Custom portals & member apps

Tryout signups, dues status, schedules, and documents in one place families can log into — instead of buried in email threads and group chats.

↳ Built Refill’s patient portal — live with well over 40,000 patients.

A front office that answers itself

AI features & automation

AI-assisted answers to the same twenty parent questions, automatic dues and paperwork reminders, and drafted club comms — applied where it saves volunteer hours, not where it demos well.

↳ Head of Engineering at Refill, shipping AI-assisted telehealth tooling today.

The kind of thing I build.

Refill · 2026

Custom telehealth prescribing platform and patient portal

The problem

Practices want to prescribe GLP-1 medications, peptides, and controlled substances online, but the existing telehealth platforms are too rigid and expensive for both big and small practices.

What I built

A custom telehealth prescribing platform with all the tools a practice needs to manage patients, prescriptions, and refills — plus a patient portal for intake, marketing, and secure messaging. Built on React, Node, Postgres, and AWS.

Result

Fully live with 200+ practices, well over 40,000 patients, and tens of thousands of prescriptions.

// the first step

Start with a Systems Audit.

Before anyone writes code, I map how your club actually runs — registration to payouts. In one to two weeks you get:

  • A plain-English map of every system the club runs on — registration platform, payments, spreadsheets, group chats — and how data actually moves between them
  • Where volunteer hours and dues are leaking, ranked by what it costs the club
  • A prioritized roadmap with honest estimates — including what your current platform can already do that nobody has turned on
  • A document the club owns outright — use it with me, another developer, or take it to a board vote

Systems Audit

from $1,500fixed fee · 1–2 weeks

It starts with a free intro call to make sure the audit is even worth the club’s money.

// ways to work together

Pick the engagement that fits. Prices in the open.

Systems Audit

from $1,5001–2 weeks

A map of how the club runs, where volunteer time and dues leak, and a prioritized roadmap with real estimates. Yours to keep — use it with me or anyone.

Focused build

$10k–$30k4–6 weeks

One well-scoped tool: a registrar dashboard, a dues-chasing automation, a tryout portal, or the glue between your registration platform and QuickBooks. Fixed fee, agreed up front.

Bigger build

$30k–$60k8–12 weeks

Multi-phase work: a full club operations hub, a tournament platform, or replacing the spreadsheet stack one piece at a time.

Retainer & fractional CTO

from $3k/moongoing

Ongoing development from $5k/mo, or senior technical judgment on tap from $3k/mo — platform decisions, vendor quotes, and an engineer who already knows how the club runs.

// how it works

No agency bloat. No junior devs. No lock-in.

The club owns everything

The code, the infrastructure, the data — the club’s from day one. No lock-in, and nothing held hostage in a former volunteer’s personal account when the board turns over.

You work with the engineer

No agency, no account manager, no junior devs learning on your dime. The person at the board meeting is the person writing the code — and I’m in Burleson, happy to meet at your fields.

Fixed scope, fixed price

Every phase is scoped and priced before it starts — a single number a board can approve. No hourly meter, no surprise invoices.

Senior judgment included

A decade of shipping means I’ll tell you what not to build — including when the platform you already pay for, properly configured, is genuinely good enough.

// questions owners ask

The fine print, up front.

What happens on the intro call?

A free 15-minute call, one-on-one. You tell me how the club runs today and where the volunteer hours go; I tell you honestly whether it’s a fit and what I’d do first. If the right answer is “don’t hire me,” you’ll hear that too.

Do we have to replace GotSport, PlayMetrics, or TeamSnap?

No — usually the opposite. Most of the value is in building around the platform you already use: dashboards on top of its data, automations that fill its gaps, and connections to QuickBooks and your communication tools. Almost anything with an API or an export can be connected; I’ll confirm specifics on the first call.

What does the Systems Audit include?

A map of every system the club runs on and how data actually moves between them, where volunteer time and dues are leaking, and a prioritized roadmap with honest estimates — including anything your current platform can already do that nobody has turned on. Fixed fee from $1,500, done in one to two weeks, and the document is the club’s to use with anyone.

What does a build cost a club?

A focused build — one well-scoped tool or integration — runs $10k–$30k over 4–6 weeks. Bigger multi-phase work runs $30k–$60k over 8–12 weeks. Every project is a fixed fee agreed up front, so the board approves a number, not an hourly meter.

We run on volunteers. Who maintains this?

It’s built for hand-off: documentation, a walkthrough, and software your non-technical volunteers actually use. Most clubs keep a small monthly retainer for fixes and improvements, but that’s optional — the point is to reduce volunteer hours, not add a system someone has to babysit.

Can’t someone on the board just build this with AI?

Maybe — and if I think you can, I’ll say so on the call. AI tools are genuinely good at prototypes. Where they stall is production: payments, real family data, integrations with your registration platform, and the edge cases that show up when 800 families hit the system in registration week. That gap is exactly the work I do.

Who owns the code when it’s done?

The club does — full ownership transfers, and the IP terms are spelled out in the engagement letter before any work starts. It survives board turnover, and the audit roadmap is yours even if you never hire me to build it.

Do you only work with soccer clubs?

Soccer is where I’m focused, but the same problems show up in volleyball, baseball, swim, and every other club sport: registration, dues, rosters, fields, and volunteers. If that’s your club, it’s a fit.

Do we have to be in DFW?

No — everything works over video. But I’m based in Burleson, and for DFW clubs the audit and working sessions can happen in person — at your office or your fields.

// let’s talk

Ready to get the club off spreadsheets?

Book an intro call — 15 minutes, no pitch. Tell me where the volunteer hours go; I’ll tell you honestly what I’d fix first. Local to DFW, so the first meeting can be at your fields.
